Overview
Depending on your company's configuration, you may be using our classic Workplace Work Folder file structure:
- Work (your name)
- Work (Groups)
- Work (Public)
Or, you may have the modern Workplace Files Structure that includes these folders:
- Your Name
- Company Name
- Shared Folders

There are a lot of things you can do with your files in the workplace mobile app. Let’s take a look.
Tap on a document and tap rename. Simply type in the box to change the name.
Now tap open in to see your options. You can export the doc or open it on Word. Let’s choose Word.
Go ahead and edit the document.
To save, tap the back button.
There are a few ways to share your files. You can:
Tap share and you see the three familiar links for sharing your document.
Or, you can tap Open in, and then Export to see more options.
Wherever you are in files you’ll see a star to the right, which you can tap to place the file on the main screen. Also, you can slide a file left to star, share or rename it.
Within a folder, if you pull down from the top of your screen you’ll find sort options: Name Date and Size, as well as ascending or descending.
These are just a few tips for working with your files in the Workplace mobile app.

Workplace allows you to access your files securely while you are away from your computer. We make sure that your files are encrypted so that you can rest assured your documents and data are safe.
You can download and integrate Microsoft Word, Excel and Powerpoint by downloading them to your Android or iOS, by selecting that option on the Home screen of your iOS device, or in More on your Android.
There are a lot of things you can do with your files in the workplace mobile app. Let’s take a look.
First, let’s tap a folder to view some files. To search for a file, tap the Search field and begin typing the name of a file.
From the list, let’s tap the file to preview it. So that we can have quick access to this file, tap the star to pin it to Starred Files and Folders.
On the Android, tap the hamburger menu. Here, you can unstar the file, share the file, or download it to your device. (Show Screens)
On your iOS device, you’ll find action items at the bottom of your screen including sharing the file, and renaming it. (Show Screens)
And, if it’s an Office document, and you’ve downloaded the app, you’ll be able to edit the file in that Office app. On the Android, tap the pencil button at the bottom of the screen. On your iOS device, tap Open in...and Edit in the app. (Show Screens)
Let’s return to the folder by tapping the X in the top corner.
There are more actions you can apply within the folder. To add content to the folder, tap the + sign to see a list of actions that include uploading a file from your device, creating a new folder, or creating an Office document.
Now let’s talk about sharing!
If you have file sharing enabled, you can share files using your mobile device.
Let’s see what this process looks like. On your Android, tap the hamburger menu to the right of the file, then tap share link.
Listed are three links for sharing your document.
The Public link provides easy sharing for non-sensitive files like marketing collateral or newsletters.
The Tracked link allows you to view the recipient’s mobile number in the activity log, which is great for keeping track of who is viewing the file and when.
The Private link is used for sensitive files, and is restricted by mobile number. Use this type of link for things like receipts, reports, or other confidential files.
For Private links, you will be asked to specify the mobile number of the recipient(s)
Copy the URL provided by Workplace and send it to the recipient via email, chat, SMS, or whatever method you prefer.
You’ll find all shared links on the home page.
Tap shared links and you’ll see your shared files. An arrow symbol to the right of the file shows it has been shared.
When a share link is no longer needed, you can break the link by selecting the arrow symbol and tapping “break link.”
