Overview
Depending on your company's configuration, you may be using our classic Workplace Work Folder file structure:
- Work (your name)
- Work (Groups)
- Work (Public)
Or, you may have the modern Workplace Files Structure that includes these folders:
- Your Name
- Company Name
- Shared Folders

Because of the unique configuration based on your company’s access policy, you may have on-demand files syncing to your computer. Or, you may be required to access your files from the cloud. In this video we’ll show you both methods.
There are a few ways to access your Folders in Workplace Windows or Mac if your company manager has turned on File Syncing. You can click on Hosted Apps and File Explorer will open, or, simply click on the folder icon at the bottom left of the Workplace window. Here you'll see where everything lives, including the Workplace Personal, Group, and Public folders.
The Workplace file system is an 'on demand' file system. That means that files not already synced with your machine will download to your computer when you open them - and upload them back to the cloud when you save. Let's see how it works: double-click a file to download it on the fly. Your file will open in the preferred local app. However, when you click save, your file syncs back to the cloud.
And you can keep working with local files even when you are offline. When network access is restored, your files sync back to your Workplace drive. You can gain immediate access to all of your on-demand files by clicking Recently Synced in the sidebar. There will be a checkmark indicating they are Up to Date and they've been synced.
And on the Mac, in Settings, you have the opportunity to sync folders continuously.
Click on Recently Synced. To reveal the file in its Folder, click the spyglass, and to share, click on the share button.
Let's talk about sharing. If file sharing has been turned on, hover your mouse over the file you want to share and click the Share button. You'll be redirected to the Workplace Web App. From here, just as you learned in a previous module, you'll choose one of the three different link options and select the appropriate one. Then, copy your link and share it via email, chat, SMS, or whatever other method you prefer. Just a note - your company may have disabled the creation of Public Links. Please contact your Workplace Administrator for more information.
As you would with any cloud-based software, you'll need to be online to access your files from your Workplace drive.
In the Workplace Desktop App you’ll find your starred files and folders, as well as Recent Files, which are documents that have recently been edited.
You’ll also have access to your Hosted File Manager. When you click on a file, it will automatically open in a hosted application, and save your work back to your Workplace drive on the cloud.

Workplace offers many different ways to get to work, especially when it comes to your Files and folders. Depending on your company's access policy, you may have on-demand files syncing locally to your computer. Or, you may be required to access your files from the cloud. In this video we’ll show you both methods.
There are a few ways to access your files and folders in Workplace Windows and Mac if your company manager has turned on File Syncing.
One option is to click the Workplace Files shortcut, which is a folder icon in Windows and a hard drive icon on the Mac.
Or, you can click on Hosted Apps in the side panel and then double-click File Manager to view your files and folders via Citrix Receiver.
Your files will sync into a unique folder on your local computer called the Workplace Drive. Here you’ll see your shared, company, and personal folders in either the File Manager or Finder window.
ON-DEMAND FILE SYSTEM
When On-Demand File syncing is turned on, the Workplace file system is an ‘on demand’ file system. CLOUD-BASED FILE SYSTEM
If your company is configured to leave everything in the cloud, you can STILL access all your files using Workplace for Windows or Mac. As you would with any cloud-based software, you'll need to be online to access your files from your Workplace drive.
In Workplace for Windows and Mac, you’ll find your starred files and folders, as well as Recent Files, which are documents that have recently been edited. You can star any file here to pin it to the launch page. Files launched from Workplace for Windows or Mac will always open in the right place based on your company's configuration.
You will have access to your Hosted File Manager. When you double click on a file, it will open in the appropriate hosted app.
