The Workplace environment introduces many systems to keep your information safe and secure. Beyond Workplace, it is also important for you to take a few preventative measures to keep things secure. Keep in mind that, while these practices are some of the top preventative measures you can take, they are not intended to replace your company's IT policy.
- Keep your apps and operating system up to date. New security vulnerabilities are found every day. Software vendors will often release security patches to fix identified issues and close the security gaps. Keeping your apps and operating system up to date is critical for keeping you safe. - Control access to your computer with a secure password. The most secure systems in the world can't protect you if you leave the front door wide open. Choose a strong password and make sure it is unique! The same applies for any PIN numbers you may use.
- Create separate user accounts for shared computers. While a colleague might need to use your computer for something seemingly harmless, you are responsible for the safekeeping of your data. Always use separate user or guest accounts for anyone else who needs to use your system.
- Enable storage encryption. Mac computers have FileVault built in which can help protect your computer from unauthorized access. For Windows computers, make sure you get a version of Windows that supports BitLocker. There are also third-party encryption solutions that can be used.
- Be alert for phishing and fraudulent email. Fraudulent email intended to trick people into revealing personal or private information is known as phishing. In addition, one of the biggest vectors of malicious software (malware) seen today is infected email attachments. If you see a suspicious email, delete it.
- Backup and safeguard your data. Any of your work related data should be saved in Workplace. The files you save in Workplace are backed up and can usually be recovered if necessary. In addition, if a device of yours is lost or stolen, any data stored locally in the Workplace app can be remotely wiped from your computer.
- Make sure you have an up to date antivirus program. Installing proactive software is a very helpful line of defense in preventing malicious software from running on your computer.
- Use your desktop firewall. Windows and Mac operating systems have a firewall to protect from network threats. Default settings are typically best for most people, don't change anything unless you know what you are doing.
- Remember the physical. Don't leave sensitive information on removable devices that can be lost or stolen. Keep your computer locked when unattended.
